Organize and retrieve: find it when you need it

Index around future questions, then test with real queries. A tidy directory does not guarantee retrievability.

Name the task, not only the subject

“Management” is broad. “How can I reduce unproductive meeting discussion?” is closer to a future question. Keep topic tags if useful, but also record a purpose, search terms and source location. The full note explains the evidence; the index helps you find it.

Add aliases rather than endless folders

You may write “agenda” today and search for “meeting preparation” next week. Add alternative phrases as keywords instead of duplicating the note. Keep enough summary to recognize the use and record where the full note lives.

Test the organization by retrieving something

Imagine preparing next week’s meeting and search using words you would naturally recall. Can you find the record and return to its evidence? If not, inspect vocabulary, purpose and index coverage. No search results do not prove that knowledge is absent.

Example index: purpose “design an agenda collection process”; keywords “meeting preparation, discussion, agenda”; location “notebook page 12”. A matching result still requires checking the original note’s limitations before applying it.
